What information do we collect from you?

We collect information about you (name, email address, institution, location, etc.) when you voluntarily complete the abstract submission form with us and we process your details in order to process your abstract submission.

Why do we collect this information?

We use the personal information you supply in our abstract submission database to be able to process/grade your abstract submission for the ESCP Congress

If your abstract is accepted for the ESCP Congress, we use the personal information you supply in our abstract submission database to publish your abstract in the following places:

  • Wiley’s Colorectal Disease journal
  • The ESCP Society App
  • The ESCP Congress website
  • The Congress final programme

Who might we share your information with?

If you agree, we shall pass on your personal information only and exclusively to the abstract grading panel that we work with to review the abstract submissions for the ESCP Congress. Abstracts will be reviewed by a panel of 5 members chosen at random from the grading panel members, the grading panel members will be available to view from 30 April 2020. Sharing information with the grading panel will help us process your abstract submission and is necessary for the delivery of our services.

If your abstract is accepted for the ESCP congress, we shall pass on your personal information only and exclusively to the abstract editing panel that we work with to standardise the format of each abstract submissions and to Wiley who publishes the Colorectal Disease Journal supplement for the ESCP Congress. Abstracts will be reviewed by an editor chosen at random from the editing panel members, the editing panel members will be available to view from 20 July 2020. Sharing information with the editing panel and Wiley will help us process your abstract submission and is necessary for the delivery of our services.

We will not disclose any information for marketing purposes to any company outside the ones related to the planning of the event; except to help prevent fraud, or if required to do so by law.

What do we do with your information?

ESCP and the ESCP Secretariat have the appropriate physical and technical security measures, policies and procedures in place to prevent your personal data from being accidentally or deliberately compromised. If you required further information regarding this, please read 'ESCP Security measures'.

How long do we keep hold of your information?

We will retain your information for the period necessary to process your abstract submission. Those abstracts which are not accepted for the ESCP congress will be deleted from our system by 1 July 2020.

Those abstract which are accepted for the ESCP congress will be published in Wiley’s Colorectal Disease journal and the ESCP Society App for the general public to view. The abstract title and presenting author will be published on the ESCP congress website and in the congress final programme for the general public to view.

You have the right to withdraw consent at any time, to request to be forgotten or have deleted your individual data from our records using the contact details listed below.

How can I access the information you hold about me?

You have the right to make a subject access request (SAR) for information that we hold about you at any time. ESCP wants to follow best practice information-handling, and should you require a SAR, please follow the instructions in 'Make a subject access request' and we will respond within one month of receiving a written subject access request (SAR).
